# What is an AI receptionist?

An AI receptionist is software that answers your business phone and talks with callers in a natural voice. This guide walks through a real call step by step, what it can and can't do, how it compares with the alternatives, and how to choose and set one up.

An **AI receptionist** is software that answers a business's phone calls and holds a spoken conversation with the caller. It answers questions from the business's own information, books appointments, takes messages and puts callers through to the right person at any hour, then sends the business a written summary of each call. It is also called an AI answering service or an AI phone receptionist.

## Key facts
- Picks up day or night. How many calls it takes at the same time depends on the plan (Julius Answer: 1 on Starter, 3 on Pro, 10 on Business).
- Works on your existing number through call forwarding, or on a new local number.
- Good at routine calls: questions, bookings, messages and routing. Calls that need a person's judgment should go to a person.
- Self-serve plans start at $24.95 a month (Upfirst, as listed on October 19, 2026); live human services start at $250 a month (Ruby).
- A good one says it is an AI, answers only from your information, and tells you what it couldn't answer.

## Why small businesses use AI receptionists

Small businesses use AI receptionists because callers who reach nobody usually call someone else, and few small teams can keep a person by the phone all day. In CallRail's September 2025 survey of 1,000 US consumers, 82% said they would call a competitor if a business didn't answer, and only 42% said they leave a voicemail.

Unanswered calls are common. CallRail's platform data, published in July 2026, puts the average share of unanswered business calls at 28%. The owner on a ladder, the stylist with a client in the chair and the lawyer in a meeting all miss calls for the same reason: they are doing the work the calls are about.

## How does an AI receptionist work on a call?

A call reaches the AI receptionist through forwarding or on its own number. The software turns the caller's speech into text, works out what the caller needs using the business's information, answers in a synthetic voice and then acts: it books, takes a message, transfers or flags the call. Here is a typical call, step by step, using Julius Answer by DealsFlow as the example.
1. **The call arrives.** Your business number forwards the call (all calls, or only the ones you don't pick up), or the caller dials the AI receptionist's own number.
1. **It greets the caller and says it's an AI.** Julius Answer opens with your business name and says it is an AI assistant and that the call is recorded. If it recognizes the number from an earlier call, it greets the caller by first name.
1. **It listens and works out the request.** Speech recognition turns the caller's words into text, and a language model decides what they want: an answer, a booking, help with a problem or a particular person. It asks the follow-up questions your business needs, such as the service address or whether they are a new patient.
1. **It answers from your information only.** Hours, services, prices you've written down, service area and policies. When the answer isn't there, a well-built AI receptionist says so and takes a message instead of guessing. Julius Answer also saves the question so you can answer it once and it knows next time.
1. **It acts.** It offers open times and books one, takes a message with the caller's name, number and reason (reading the number back to confirm), puts the caller through to the right person, or marks the call urgent. In an emergency it tells the caller to hang up and call 911.
1. **You get the details.** After the call you receive a summary by email, alerts for anything urgent, and a record of the caller in a CRM or the tools you connect.

## What can an AI receptionist do?

An AI receptionist handles routine, repeatable calls: common questions, bookings, messages, routing and screening. Exact features vary by product and often by plan, so check the plan you would actually buy.
- Answers questions about hours, services, listed prices, service area and policies.
- Books appointments, estimate visits or reservations into open times, checking your calendar during the call.
- Takes messages and call-back requests with the caller's name, number and reason.
- Puts callers through to the right person, and takes a message if nobody picks up.
- Screens sales pitches, robocalls and wrong numbers so your phone rings only for customers.
- Recognizes returning callers and remembers what they called about.
- Replies in Spanish or other languages when the caller speaks them (language support varies by product).
- Answers more than one call at the same time on plans that allow it, up to the plan's limit (Julius Answer: 1 on Starter, 3 on Pro, 10 on Business).
- Sends a summary of every call and keeps a searchable record of callers.

## What can't an AI receptionist do?

An AI receptionist can't use judgment the way an experienced person can, and it only knows what you've told it. Plan for these limits instead of discovering them on a live call.
- **Calls that need empathy or a decision.** An angry customer, a complaint that needs a refund decision or a caller in distress is better handled by a person. Set the AI to take the details and transfer or flag those calls.
- **Anything you haven't taught it.** It should never invent a price, an opening or a policy. If your business information is thin, expect more messages and fewer answers.
- **Professional advice.** It should not give medical, legal, tax or financial advice. Julius Answer, for example, is built to decline and book a consultation or take a message instead.
- **In-person work.** It can't greet walk-ins, take payment at the counter or handle paperwork.
- **Callers who want a person.** In Invoca's 2026 survey of 693 US consumers, nearly 60% said they prefer a human over AI when both are equally available. A transfer option and a quick call-back matter for those callers.
- **Features a plan doesn't include.** Some entry plans don't book directly or transfer calls. Rosie's $49 Professional plan, for example, texts the caller an appointment link instead of booking on your calendar, according to its pricing page on October 19, 2026. Julius Answer doesn't make outbound sales calls, and texts callers only after your business is registered with US carriers.

## AI receptionist vs virtual receptionist vs answering service vs voicemail vs IVR

The difference is who or what answers and how much it can do. An AI receptionist is software that holds a conversation; a virtual receptionist is usually a live person working remotely; an answering service traditionally means call-center agents taking messages; voicemail records a message; and an IVR is a "press 1 for sales" menu.

Five ways to answer a business phone (prices as listed on October 19, 2026)
| Option | Who answers | What it can do | Typical pricing |
|---|---|---|---|
| AI receptionist | Software with a natural voice | Holds a conversation, answers from your information, books, takes messages, transfers, 24/7 | Monthly plan billed per minute, per call or per unique caller; entry plans from $24.95 (Upfirst) to $150 (Smith.ai AI Pro) at the vendors we checked |
| Virtual receptionist (live) | Trained people working remotely | Most of what a person can do by phone, within your instructions | Per minute or per call: Ruby from $250 for 50 minutes; Smith.ai from $300 for 30 calls |
| Answering service (traditional) | Call-center agents | Mainly message taking and basic routing from a script | Varies by provider; compare per-minute or per-call rates and monthly minimums |
| Voicemail | Nobody: a recording | Records a message for you to return later | Usually included with the phone line |
| IVR (phone menu) | A recorded menu | Routes callers by keypress or simple speech and plays recorded information | Usually part of a business phone system |

The names overlap. "Virtual receptionist" usually means live people, but some AI vendors use it too, and Smith.ai sells both an AI Receptionist and a live Virtual Receptionist service. Voicemail is the cheapest option, but it depends on callers leaving a message, and in CallRail's 2025 survey most said they don't. ## Who is an AI receptionist for?

An AI receptionist fits small businesses that miss calls because the people who could answer are busy doing the work. It is a weaker fit when most calls are long, emotional or negotiated, or when someone has to be physically at a front desk.
- **Home services and trades:** [plumbers](/industries/plumbers/), [HVAC](/industries/hvac/), [electricians](/industries/electricians/) and [roofers](/industries/roofing/), who are on job sites when urgent calls come in.
- **Appointment businesses:** [salons and spas](/industries/salons-and-spas/), [dental offices](/industries/dental-offices/), [fitness studios](/industries/fitness-studios/) and [auto repair shops](/industries/auto-repair/), where the person who answers is usually with a client.
- **Professional services:** [law firms](/industries/law-firms/), accountants and agencies. In Clio's 2024 Legal Trends Report, only 40% of law firms answered a secret-shopper phone call, down from 56% in 2019.
- **Restaurants:** [reservations and questions](/industries/restaurants/) that arrive during the dinner rush.

Where a person is clearly better, one setup is to keep your team or a live service for business hours and let the AI receptionist take nights, weekends and overflow.

## How to choose an AI receptionist

Choose on four things: whether the plan you'd buy does the jobs your calls need, how it bills, what it does with calls it can't handle, and whether you can try it on real calls first. Use this checklist when you compare products.
- **It books into your real calendar during the call** on the plan you'd buy, not only on a higher tier.
- **The billing unit fits your calls.** Per-minute plans favor short calls, per-call plans favor long ones, and per-unique-caller plans favor businesses with many repeat callers. See [what an AI receptionist costs](/guides/ai-receptionist-cost/).
- **You know what counts.** Ask whether spam, wrong numbers and very short calls use your allowance, and how partial minutes are rounded.
- **It admits what it doesn't know** and takes a message rather than guessing a price.
- **It transfers to your team** and takes a message when nobody picks up.
- **It says it is an AI** at the start of the call.
- **Call details go where you work:** email summaries, urgent alerts, a CRM, your calendar, Slack or Zapier.
- **It speaks your callers' languages.**
- **Compliance matches your field.** If you need a HIPAA business associate agreement, confirm the vendor signs one. Julius Answer does not.
- **You can try it with real calls** through a free trial or money-back guarantee, and cancel without a long contract.

## Frequently asked questions

### Will callers know they're talking to an AI?

They should. A trustworthy AI receptionist says it is an AI at the start of the call. Julius Answer greets callers with your business name, says it is an AI assistant and that the call is recorded, and never claims to be a person.

### Can an AI receptionist book appointments during the call?

Yes, if the product and the plan you buy include booking. It checks your open times, offers a few and books the one the caller picks. Julius Answer offers up to three open times and books the caller's choice as a request you confirm with one tap; with Google Calendar connected it never offers a time you're busy.

### Does an AI receptionist work after hours?

Yes. It answers nights, weekends and holidays the same way it answers at noon, following your after-hours rules: take a message, book the next open time, or flag urgent calls for whoever is on call.

### Can it take multiple calls at once?

It depends on the product and the plan. Julius Answer answers 1 call at a time on Starter, 3 at once on Pro and 10 on Business.

### What is an automated answering service called?

Usually an AI receptionist, an AI answering service or an AI phone receptionist; some vendors also say virtual receptionist. A recorded 'press 1 for sales' menu is an IVR (interactive voice response), which routes calls but can't hold a conversation.

### Is an AI receptionist worth it?

It usually is if you miss calls that could become customers. In CallRail's 2025 survey of 1,000 US consumers, 82% said they would call a competitor if a business didn't answer. Compare the monthly price with the value of the jobs you lose to missed calls; our [missed call statistics](/guides/missed-call-statistics/) guide has a worked example.

### Can an AI receptionist make outbound calls?

Some can. Julius Answer answers incoming calls; no outbound sales calls. When a caller asks for a call back, it saves the call-back with a real time on your team's list. Other products, such as Frontdesk, include a daily allowance of outbound calls on their plan, according to their pricing page in October 2026.
