AI receptionist vs answering service vs human receptionist
An AI receptionist is the cheapest way to answer every call around the clock. A live answering service or your own receptionist is better for calls that need empathy and judgment. Here are the trade-offs, sourced costs per call and a decision table.
Updated · By the Julius Answer team at DealsFlow
Choose an AI receptionist when most of your calls are routine (questions, bookings, messages) and you want them answered 24/7 for a monthly fee in the tens or low hundreds of dollars; how many it answers at the same time depends on the plan (Julius Answer: 1 on Starter, 3 on Pro, 10 on Business). Choose a live answering service when callers need a person's empathy or judgment; it costs $3.45 to $5.00 a minute at Ruby or $7 to $10 a call at Smith.ai, as listed on October 19, 2026. Hire a receptionist when you also need someone at the front desk; the median wage is $38,010 a year (BLS, May 2025).
What's the difference between an AI receptionist, an answering service and a receptionist?
An AI receptionist is software that talks with callers; a live answering service is a team of remote agents who answer on your behalf; a human receptionist is your own employee. They differ most in cost, hours covered and how they handle hard calls.
| Feature | AI receptionist | Live answering service | In-house receptionist |
|---|---|---|---|
| Who answers | Software with a natural voice | Trained agents working remotely | Your employee |
| Hours | 24/7 | Depends on the plan; Smith.ai's live plans include 24/7 answering | About 40 of the 168 hours in a week, for one full-time person |
| Calls at once | Up to a plan limit (Julius Answer: 1 on Starter, 3 on Pro, 10 on Business) | Several agents, but every call is billed | One |
| How you pay | Monthly plan: per minute, per call or per unique caller | Per minute or per call, at higher rates | Salary plus benefits |
| Typical cost | $24.95 to $299 a month for most plans we checked | Ruby from $250 for 50 minutes; Smith.ai from $300 for 30 calls | Median $38,010 a year in wages (BLS) |
| Best at | Routine calls, after hours, overflow and busy spells | Calls that need empathy or judgment | Everything, including work in person |
| Weak at | Upset or complex callers; anything not in its information | Cost at volume; agents know only your script | Coverage outside hours, sick days and breaks |
How much does each option cost per call?
For a 3-minute call, the AI plans below cost about $0.45 to $2.50 and live answering services about $7 to $15. An in-house receptionist's cost per call depends on how many calls they take in an hour. The figures below are our arithmetic from prices listed on October 19, 2026 and BLS data.
| Option | Plan and rate | One 3-minute call |
|---|---|---|
| Rosie Scale (AI) | $149 for 1,000 minutes, about $0.15 a minute | $0.45 |
| Julius Answer by DealsFlow, Pro plan (AI; our product) | $199 for 1,000 minutes, $0.20 a minute | Three minutes at $0.20 |
| Upfirst Pro (AI) | $159.95 for 300 calls | $0.53 |
| Dialzara Business Pro (AI) | $99 for 220 minutes, $0.45 a minute | $1.35 |
| Smith.ai AI Receptionist Pro | $150 for 75 calls | $2.00 ($2.50 once over the allowance) |
| Smith.ai Virtual Receptionist Basic (live) | $810 for 90 calls | $9.00, plus $1.50 if it books an appointment |
| Ruby 200-minute plan (live) | $720 for 200 minutes, $3.60 a minute | $10.80, plus any hold time and post-call work |
| In-house receptionist | $18.27 an hour median wage; about $26.60 an hour with benefits (our estimate) | Depends on calls per hour |
Live services cost more because a person handles every call. Ruby rounds each call up to the next minute and also counts hold time and post-call work toward your minutes, according to its billing help page. Smith.ai's live plans bill per call and add per-call fees for extras, such as $1.50 for appointment booking and $1.00 for a dedicated Spanish line.
The in-house figure comes from the BLS: median pay for receptionists was $18.27 an hour in May 2025, and wages were 68.7% of total compensation for private-industry office and administrative support workers in June 2026. That puts a full-time receptionist at about $55,300 a year with benefits, or about $26.60 for each of 2,080 working hours (our calculation). For monthly totals at a realistic call volume, see the worked example in how much an AI receptionist costs.
When is an AI receptionist the better choice?
An AI receptionist is the better choice when most calls are routine, when you miss calls because you're busy or closed, and when cost per call matters. It can also answer more than one call at a time without adding staff, up to the plan's limit: Julius Answer answers 1 call at a time on Starter, 3 on Pro and 10 on Business.
- Most calls are questions, bookings and messages. Hours, prices you've listed, "can you come Thursday," "please call me back."
- You miss calls on the job or after hours. In CallRail's September 2025 survey of 1,000 US consumers, 21% said they immediately call another business when nobody answers.
- Calls bunch up. A storm, a lunch rush or a Monday morning brings several calls at once; a plan with room for them answers them together (Julius Answer Pro takes 3 at the same time, Business 10).
- You want consistent answers. It answers from your information the same way at 2 p.m. and 2 a.m., and says so when it doesn't know.
- You want every call written down. Summaries, urgent alerts and caller records arrive without anyone typing notes.
- Budget is tight. Most AI plans we checked cost less a month than Smith.ai's live service charges for 30 calls ($300).
When is a live answering service or a human receptionist better?
A person is better when the call needs empathy, judgment or persuasion, when callers insist on a human, or when the job includes work in person. Be honest about how many of your calls fall into these groups.
- Emotional or sensitive calls. A grieving family, a frightened caller, a serious complaint. An AI receptionist can take details and get them to a person quickly, but it can't comfort someone the way a person can.
- Intake that depends on judgment. Calls where the next question depends on reading between the lines, such as a legal matter with several parties or a disputed insurance claim. A trained agent adapts; an AI follows the questions you set.
- Sales and negotiation. Closing a large sale or negotiating price on the phone is a job for a person.
- Callers who want a person. In Invoca's 2026 survey of 693 US consumers, nearly 60% said they prefer a human over AI when both are equally available. In CallRail's 2025 survey, 13% said they would not use AI for any task.
- Regulated work that needs a signed agreement. If you need a HIPAA business associate agreement, choose a provider that signs one. Julius Answer does not; Upfirst lists HIPAA BAAs on its Custom plan.
- Work at the front desk. Greeting visitors, taking payments and handling paperwork need someone on site.
Live services are adding AI too: Ruby's answering is done by live receptionists, with AI used for transcripts, sentiment and call flows at no extra cost. If you want an AI receptionist with live people behind it from one vendor, Smith.ai's AI Receptionist can transfer callers to its North America-based live receptionists, though its pricing page doesn't state the price. Julius Answer has no live backup agents: it transfers to your own team or takes a message.
Can you combine AI and human answering?
Yes. A mix can work well: your team answers when it can, and an AI receptionist takes the calls they miss, nights, weekends and overflow. Three ways to set it up:
- AI on unanswered calls. Forward only calls you don't pick up (on Verizon, *71 plus the number; on AT&T and T-Mobile, **004*1 plus the number and #). See how to forward your business calls.
- AI first, people for the hard calls. The AI answers everything and transfers urgent or sensitive calls to whoever is on duty; if nobody picks up, it takes a message.
- A receptionist plus AI cover. Your receptionist handles the desk; the AI takes lunch breaks, sick days, busy spells and after hours.
Decision table: which should you choose?
Find the row that best describes your calls. If two rows apply, the combined setups above usually cover both.
| If your situation is | Best fit | Why |
|---|---|---|
| Most calls are questions, bookings and messages | AI receptionist | Handles them the same way every time, 24/7, on a monthly plan |
| You miss calls while working or after hours | AI receptionist on unanswered calls | Your team still answers when it can |
| Several calls often arrive at once | AI receptionist on a plan with enough simultaneous calls | Answers more than one call at a time without extra staff, up to the plan's limit (3 on Julius Answer Pro, 10 on Business) |
| Callers are often upset, grieving or in crisis | A person: in-house or a live service | Empathy and judgment matter more than cost |
| Intake is long and depends on judgment | Live answering service, or AI that captures the basics and saves a call-back for your team | Agents adapt; AI follows the questions you set |
| You need a HIPAA business associate agreement | A vendor that signs one | Julius Answer doesn't sign BAAs |
| Someone must greet visitors or take payments | In-house receptionist, with AI for overflow and after hours | Only a person can work the front desk |
| Only a few calls a week | A per-call AI plan | Upfirst and AIRA start at $24.95 for 30 calls |
| Budget under $100 a month | AI receptionist | Live services start at $250 to $300 a month |
| Many callers speak Spanish and want a person | A bilingual live service, or an AI that replies in Spanish | Ruby lists 24/7 Spanish and bilingual call handling; Julius Answer replies in Spanish when the caller speaks it |

Frequently asked questions
Can AI replace a receptionist?
For answering the phone, it can take most routine calls, around the clock, for a monthly fee instead of a salary. It can't greet visitors, take payments at the desk or use judgment on a difficult call, so a small business can keep a person for those and let AI take nights, weekends and overflow.
Is a virtual receptionist legit?
The main live services publish their prices, terms and guarantees. As listed in October 2026, Ruby offers first-time users a money-back guarantee if requested within 21 days, and Smith.ai offers new clients of its live plans a 30-day money-back guarantee. Before you sign, check how minutes or calls are counted, the overage rate and the notice needed to cancel.
How does an answering service work?
You forward your business calls to the service. An agent or an AI answers with your business name, follows your instructions to answer questions, take messages, book appointments or transfer the call, and sends you the details. Live services usually bill per minute or per call; AI receptionists bill a monthly plan.
Do customers know they're speaking to AI?
They should be told. Julius Answer says it is an AI assistant in its greeting and never claims to be human. Attitudes are mixed: in CallRail's 2025 survey of US consumers, 52% said businesses using AI assistants after hours offer superior service, while Invoca's 2026 survey found nearly 60% prefer a human when both are equally available.
What are the benefits of an AI receptionist?
Calls answered 24/7, more than one at a time on plans that allow it (Julius Answer answers 1 on Starter, 3 on Pro and 10 on Business), with the same answer every time from your own information, a written summary of each call, and a monthly cost in the tens or low hundreds of dollars instead of a salary or a per-call agent fee.
Can an AI receptionist transfer calls to a person?
Yes. Julius Answer puts callers through to the right person on your team, for example billing calls to your bookkeeper or urgent calls to whoever is on call. If nobody picks up, it takes a message and alerts you.
